My father passed away in May and the paperwork was overwhelming. There were documents in three languages, from different decades, some of which we had never seen before. The inventory session gave us a list we could actually use — something to hand to the solicitor and to the land office. It took one afternoon and the archivist was very patient when we needed to stop for a while. I appreciated that she wrote everything down without telling us what any of it meant; that was not what we needed from her.

We engaged Legacine for the full archiving project after my grandmother's estate was settled. Four generations of photographs and correspondence, some going back to the 1940s. The work took the six weeks described and the result is something the whole family can use — my aunts in Penang and my brother in Johor each have a copy. The finding aid is genuinely readable; I tested it with my teenage daughter and she could navigate it. One item arrived back with a small crease that was not there before; it was noted in the condition report and acknowledged, which I respected.

I was unsure at first whether an inventory session was worth doing before we had spoken to a solicitor. The archivist was clear that these were separate things and that the inventory would actually help the solicitor because he would know what documents existed before starting. That turned out to be correct. The list we produced in the afternoon session became the starting point for the estate administration. The referral notes section was particularly useful — it told us which questions to bring to whom.

We started with the inventory and then commissioned the full archiving project a few months later. Having both done in sequence worked well because the inventory gave us a complete picture of what needed to be archived before any preservation work began. The six-week timeline was accurate; we received the boxes and the drives on the thirty-eighth day. There was one document type — a category of old company forms — that the archivist was not familiar with and said so directly, which I found honest rather than concerning.

Three examples in more detail
Case 01 — Estate with documents in three locations
The situation
A family in Kuala Lumpur needed to manage the estate of a parent who had kept documents across three properties — a city apartment, a family home in Seremban, and a rented storage unit. No complete list existed. Probate could not begin without one.
What was done
An inventory session was conducted at each location on separate days. The archivist produced a combined index noting the location of each item. Questions about which documents were needed for probate were recorded separately for the solicitor.
The result
A single, combined inventory covering 94 items across three sites, produced within one week. The solicitor used the inventory directly. The family proceeded to the archiving project the following month.
Case 02 — Four-generation photograph and document collection
The situation
A family held photographs, letters, and property documents spanning four generations. Some materials were fragile or water-damaged. Family members lived in three states. Access was a recurring problem at important moments.
What was done
A six-week archiving project covering 312 items — photographs, letters, property documents, and company records. All fragile items were cleaned and sleeved. Scans at 600dpi. Encrypted drives delivered to five family members in KL, Penang, and Johor Bahru.
The result
Complete digital and physical archive with a printed finding aid in plain English. Family members in all three states now have equal access to the same records. The oldest photograph in the collection — from the 1930s — was identified and stabilised.
Case 03 — Ongoing stewardship for an active household
The situation
A family that completed an archiving project in 2022 found that new documents accumulated quickly: insurance renewals, company correspondence, school records, property documents. Maintaining the archive themselves was not practical.
What was done
Annual stewardship arrangement from 2023. Two filing visits per year, at the family's schedule. New documents accessioned, index updated, finding aid revised, refreshed drives issued. Annual report produced in July each year.
The result
Archive grown from 312 to 389 items over two years, all indexed and accessible. Family has not needed to locate a document manually since the archive was built. The annual report is used as a reference point at family meetings.
